1 Appointments & Scheduling Practices
At Syntax Healthcare, we are committed to providing timely, respectful, and quality healthcare. Appointments may be scheduled in person or through telehealth when appropriate, based on clinical needs, provider recommendations, and applicable insurance requirements. Patients are encouraged to arrive at least 10 minutes before their scheduled appointment to allow time for check-in, insurance verification, and required paperwork.
The frequency of visits may vary according to your health needs, treatment plan, and clinical progress. If you need to cancel or reschedule an appointment, please contact our office as soon as possible so we can make the appointment available to another patient.
2 Telehealth Practices
Syntax Healthcare may offer secure telehealth services to eligible patients when clinically appropriate. Telehealth appointments are subject to clinical considerations, patient needs, applicable state requirements, and insurance policies. Patients must be physically located in a state where the provider is authorized to provide care at the time of the appointment.
Patients are responsible for having a reliable internet connection, an appropriate device, and a private setting for their appointment. Your provider may recommend an in-person visit when telehealth is not appropriate for your healthcare needs.
3 No Show & Cancellation Practices
Appointment times are reserved specifically for each patient. Missed appointments and late cancellations can limit timely access to care for other patients. Patients who need to cancel or reschedule should notify Syntax Healthcare as soon as possible.
A same-day cancellation or missed appointment may be considered a no-show, and a fee may apply according to clinic Practices and applicable requirements. Repeated missed appointments or late cancellations may result in scheduling restrictions or other appropriate action. Emergencies and unusual circumstances may be reviewed individually.
4 Financial Practices
Payment is generally due at the time services are provided unless other arrangements have been approved in advance. Patients are responsible for applicable copays, deductibles, coinsurance, and balances not covered by their insurance plan.
Our staff may assist with verifying insurance benefits before an appointment; however, verification does not guarantee coverage or payment. Insurance carriers make final coverage determinations. Patients should contact their insurance provider with questions about benefits, exclusions, deductibles, and out-of-pocket costs.
5 Prescription Practices
Syntax Healthcare uses electronic prescribing when appropriate. Prescriptions may be sent directly to the patient’s designated pharmacy, so patients should keep their pharmacy information current.
Prescription refill requests should be submitted during regular office hours and with sufficient notice. Some refill requests may require a follow-up appointment, clinical review, or additional information. Medication decisions are made by the treating provider based on the patient’s health history, response to treatment, safety considerations, and current clinical standards.
6 Controlled Medication Practices
Patients receiving controlled medications may be asked to participate in appropriate medication monitoring. Depending on the medication and clinical circumstances, monitoring may include prescription monitoring database reviews, laboratory testing, medication counts, or other measures determined appropriate by the provider.
These practices support safe prescribing and compliance with applicable federal and Georgia requirements. Failure to follow required monitoring may affect continued prescribing or treatment plans.
7 Benzodiazepine Practices
Syntax Healthcare evaluates benzodiazepine use on an individual basis. Patients currently taking medications such as alprazolam (Xanax) or clonazepam (Klonopin) may be asked to provide relevant medication history and previous treatment records.
Any decision regarding continuation, adjustment, tapering, or alternative treatment is made by the treating provider based on clinical appropriateness, patient safety, medical history, and applicable prescribing standards.
8 ADHD Medication Practices
Patients seeking evaluation or treatment for ADHD may be asked to provide previous medical records, diagnostic documentation, medication history, or other information needed to support an appropriate clinical assessment.
Additional evaluation or testing may be recommended when necessary to clarify the diagnosis and guide treatment. Decisions regarding ADHD medications, including stimulant medications, are made by the treating provider based on clinical findings, individual circumstances, and patient safety.
9 Medical Records Practices
Patients may request access to or copies of their medical records in accordance with applicable federal and Georgia laws. Requests may require completion of an appropriate authorization or records request process.
Processing times may vary depending on the type and complexity of the request. Any permitted fees will be communicated when applicable.
10 Privacy & HIPAA Practices
Protecting patient privacy and confidentiality is an important part of providing healthcare at Syntax Healthcare. We follow applicable federal and state privacy requirements, including the Health Insurance Portability and Accountability Act (HIPAA).
Patient information is generally disclosed only as permitted or required by law, authorized by the patient, or necessary for treatment, payment, and healthcare operations. Patients may request a copy of the clinic’s Notice of Privacy Practices for additional information about how their health information is used and disclosed.
11 Patient Conduct Practices
Syntax Healthcare strives to maintain a safe, respectful, and professional environment for patients, providers, staff, and visitors. Patients are expected to communicate respectfully, participate in their care, attend scheduled appointments, and follow reasonable treatment recommendations.
Threatening behavior, harassment, intimidation, discrimination, physical aggression, abusive language, or significantly disruptive conduct may result in appropriate action, including limits on services or discharge from the practice when permitted by law.
12 Emergency & Crisis Practices
Syntax Healthcare provides outpatient healthcare and is not a substitute for emergency services. If you are experiencing a medical emergency, severe psychiatric crisis, thoughts of suicide or harming another person, or another situation requiring immediate assistance, call 911 or go to the nearest emergency department.
For mental health or emotional distress requiring immediate crisis support, you may also call or text 988 to reach the Suicide & Crisis Lifeline. Do not wait for a return call, message, or scheduled appointment when immediate emergency care is needed.
